The Accounts Payable Specialist is responsible for managing the full end-to-end accounts payable function with a strong focus on accuracy, compliance, and process efficiency. This role requires advanced proficiency in Workday Financials, particularly the Payables module, and serves as the primary owner of all A/P operations, from invoice processing and payment execution through reporting, audits, and compliance.
Key Responsibilities:
- Manage the full-cycle accounts payable process, including vendor invoices, purchase orders, employee reimbursements, and miscellaneous payments.
- Review and approve transactions in Workday and PaymodeX, ensuring accurate coding, approvals, tax treatment, and policy compliance.
- Process ACH, check, and wire payments and resolve invoice, reimbursement, and payment inquiries.
- Maintain vendor records, support supplier onboarding, and ensure valid W-9 documentation for 1099 reporting.
- Monitor pending transactions and follow up to ensure timely approvals and settlement.
- Generate A/P reports to support reconciliations, audits, and month-end close.
- Prepare and file annual 1099s and maintain audit-ready documentation.
- Provide support and guidance to internal users on A/P processes and Workday navigation.
- Identify opportunities to improve workflows, support training efforts, and collaborate with finance team members.
Qualifications:
- 5+ years of Accounts Payable or related accounting experience.
- Demonstrated expertise with Workday Accounts Payable.
- Experience managing the full A/P lifecycle independently.
- Strong attention to detail, problem-solving ability, and organizational skills.
- Bachelor's degree or equivalent experience.
Preferred:
- Experience with PaymodeX.
- Knowledge of fund accounting, GASB standards, or nonprofit financial reporting.
- Familiarity with additional Workday Financial Management modules.
